​planning guide

​We are looking forward to hosting your upcoming event at Camp Allen!  An event coordinator will reach out to the group's contact a few weeks prior to arrival to finalize event plans.  Most retreats and conferences can be planned via email and/ or phone.   Please carefully review the information and policies below. To ensure a successful event, please submit the planning form below two weeks prior to your arrival.

general information & Policies

CHECK IN
The main contact for the group may pick up the campsite keys at the Conference Center's front desk at 5:00 PM on arrival day (unless noted otherwise on the contract).  Early check-in is a $25/per hour charge, subject to availability with advanced reservation.

The person designated as the “responsible party” on the rental contract must be at least 21 years of age, and they are required to be present with the group through the entire stay. Once checked in, your guests may go directly to the campsite without stopping at the front desk.  For the safety of our guests, the guard gate closes at 9:00 PM daily. Please ensure guests arriving after this time have the current gate code.

​Day guests are charged at $10 per day.  Please indicate on the planning form the count for each day.

The final bill will be sent the week following your event to the contact listed on the contract and will include any optional rentals and reserved activities.​

Campsite rentals include trash bags, toilet paper, bathroom paper towels, and dishwasher detergent.
Please note: Coffee, kitchen paper towels, cleaning supplies, bed and bath linens, and charcoal for grills are not provided. Cookware and dishware are also not included but may be rented in advance through Camp Allen.
check out
The main contact for the group should turn in the campsite keys at the Conference Center's front desk at 2:00 PM on departure day.  Late check out is charged $25/hour, subject to availability with advanced notice.

Before departing, please leave your campsite clean and as you found it; remove all food from the kitchen and fridge; return all dishware, cookbox items, and sports equipment to their proper locations; report any damages to the front desk; turn off lights, close all doors, and set the A/C to 78°F (or 65°F for heat in winter); review the policies provided at check-in; and securely tie and bag all trash before placing it in outdoor cans with lids closed—no loose trash or overnight garbage, please.

facility care & guidelines
Hours: Please note that 10:00 PM to 7:00 AM is to be regarded as “quiet time” and noise levels should be kept to a minimum during this time. For the safety of all guests, the guard gate closes at 9:00 PM daily. Refer to the label on the front of the guest packet envelope for the current gate code.​​

Speed Limit: Help keep our camp safe. Upon entering Camp Allen, please do not exceed the 20mph speed limit. The dirt roads can be slippery and there are guests that walk the roads.

Assistance: Please report maintenance or housekeeping needs to the front desk at the Conference Center. Our front desk is open from 7:00 AM-11:00 PM daily.

Moving Furnishings: Please note that Camp Allen does not provide custom furniture arrangements. Furniture may be re-arranged in the dining hall, but we do ask that indoor furniture is not moved outside. We ask that you return outdoor furniture to its approximate original location and position, as a labor charge of $50/hour will be applied for Camp Allen to rearrange furniture and furnishings as well as extensive cleaning due to misuse of facility.

Dishes & Cookware Rentals: Camp Allen utensils, cookware and meal trays have been inventoried prior to your visit. Please wash and store all utensils and dishes before you leave. The cost of any missing items will be added to your group’s invoice. View Inventory.

Sports Box: There is sports equipment located in the colored equipment box at your campsite. There is a key for the sports equipment box on the campsite key ring. Please be sure to return everything to the box; the cost of any missing equipment will be added to your group’s invoice.

Signage: Any group signage posted must be removed prior to departure. Do not use staple guns or duct tape to post any signage.

Trash: Please tie all trash bags securely and place them in trash cans with the lid latched tightly. To avoid attracting animals, do not leave trash outside the cans. For daily pickup, place your trash outside by 1:30 PM for collection by our maintenance team.
​Please be respectful of Camp Allen property and equipment. Damages and/or cleaning costs in excess of normal wear and tear will be billed to the group and charged to the credit card on file.

Power Outages and Utility Service Interruptions: Camp Allen will make every effort to maintain guest comfort in the event of a power outage or service interruption; however, because such occurrences may result from weather, utility issues, or other events beyond our control, Camp Allen does not provide refunds or credits related to these disruptions. Guests are encouraged to purchase event or travel insurance to protect against potential losses caused by unforeseen circumstances.

Tell the operator to page Camp Allen. Also inform the operator which campsite number you are calling from and give them your group’s name.

Inform the dispatcher that you are at Camp Allen on FM 362, 2 miles south of FM 2.
alcoholic beverage policy
Camp Allen permits the responsible and respectful use of alcoholic beverages within the following guidelines:
  • Guests may bring their own alcohol, but consumption must be limited to your immediate campsite area. Many nearby guests are here for peaceful, family-oriented retreats, so please help us maintain a quiet and safe environment.
  • Alcohol is not permitted at Pools #1 and #2, the Pavilion, or any other shared or common-use areas.
  • Driving under the influence or consuming alcohol while operating a vehicle on Camp Allen property is strictly prohibited.
  • Any disorderly conduct, damage, or injury related to alcohol use may result in removal from the property, financial liability, and potential legal consequences.
wristbands
For the safety and security of all guests, wristbands must be worn at all times while on Camp Allen property. Waterproof wristbands will be included in your check-in packet based on the guest count provided in your planning form. If you need extras during your stay, please visit the Front Desk. Note: All guests, both overnight and day, are required to wear wristbands.
restrictions
Personal fireworks and open campfires are forbidden.

Swimming and/or personal boats and jet skis are not allowed on Lake Coffield or Lake Goddard. 

Pet-Free Policy
For the safety, comfort, and health of all guests, Camp Allen maintains a strict pet-free policy across all facilities and grounds. Only service animals, as defined by the Americans with Disabilities Act (ADA), are permitted. Service animals must be trained to perform specific tasks directly related to a person’s disability. Emotional support animals, comfort animals, and therapy animals do not qualify as service animals under the ADA and are not permitted on the property. Guests traveling with pets are encouraged to arrange for off-site boarding. For local pet boarding options, please visit campallen.org/local

Electric Powered Transportation Devices
The possession, use, or charging of electric-powered personal transportation devices is strictly prohibited on Camp Allen property. This includes electric scooters (excluding those used for guests with a mobility disability), e-bikes, electric-powered skateboards, hoverboards, 4-wheelers, go-carts, ATVs, golf carts, motorcycles, and self-balancing scooters. This policy is in place to ensure the safety of our guests, staff, and facilities.  Devices may not be stored, operated, or charged in guest rooms, meeting spaces, or any other facility on campus. Failure to comply with this policy may result in the device being held for the duration of the stay or, in more serious cases, dismissal from the property without refund.  Guests are encouraged to enjoy Camp Allen’s walking paths, nature trails, and the use of traditional bicycles, which are welcome on the property.  Camp Allen does not provide charging stations for electric vehicles.



​Fires are only permitted in the indoor fireplace. Campfires must be arranged in advance through Camp Allen staff. Due to our forest environment and dry conditions, please use caution when utilizing the charcoal grill. Do not leave it unattended and have a hose accessible.

WIFI 
Complimentary and upgraded Wi-Fi options are available at the following locations: Conference Center & Hotel, Bishop Doyle Center, Pavilion, Campsite 3, Lakeside Meeting Center and Grove Lodges. To connect:
  1. Open your device’s Wi-Fi settings and select Camp Allen Guest.
  2. If the login page does not appear automatically, open a browser and visit campallen.org.
  3. Check the box to accept the terms of use.
  4. Choose either:
  • Free Wi-Fi (scroll to the bottom and click the Free Access button)
  • or Select a paid package (24–96 hours) and click Pay by Credit Card.
Note: You will not need a voucher unless one was prearranged.

Additional Connectivity Info:
Quiet House: Starlink internet is available; the password will be provided at check-in.
Lakeside Cabins and Campsites 1 &2: Wi-Fi is not available at this time; however, there is an on-site AT&T tower and a Verizon tower within half a mile of the property.
