lakeside cabin & grove lodge
​planning guide

​We are looking forward to hosting your upcoming event at Camp Allen!  An event coordinator will reach out to the group's contact a few weeks prior to arrival to finalize event plans.  Most retreats and conferences can be planned via email and/ or phone.   To ensure a successful event, please submit the planning form below two weeks prior to your arrival.

general information

CHECK IN & billing
The main contact for the group may pick up the facility keys at the Conference Center's front desk at 3:00 PM on arrival day.  Early check-in is a $25/per hour ($50 for the Lakeside Meeting Center) charge, subject to availability with advanced reservation.

The person designated as the “responsible party” on the rental contract must be at least 21 years of age, and they are required to be present with the group through the entire stay.

The final bill will be settled upon check in, and will include any optional rentals and reserved activities.​
check out
The group’s main contact should return all facility keys to the Conference Center front desk by 12:00 PM on the day of departure. Late check-out is $25 per hour ($50 for the Lakeside Meeting Center), subject to availability, and must be arranged in advance.

​Before leaving, please ensure the facility is left clean and in its original condition. Remove all food from the kitchen and refrigerator, return all dishware to their proper places, and start the dishwasher. Report any damages to the front desk. Be sure to turn off all lights, close all doors, and set the A/C to 78°F (or 65°F for heat during winter). All trash should be securely bagged, tied, and placed in the outdoor bins with lids closed.
facility care & guidelines
Hours:  Please note that 10:00 PM  to 7:00 AM is to be regarded as “quiet time” and noise levels should be kept to a minimum during this time.

Speed Limit: Help keep our camp safe. Upon entering Camp Allen, please do not exceed the 20mph speed limit. The dirt roads can be slippery and there are guests that walk the roads.

Assistance: Please report maintenance or housekeeping needs to the front desk at the Conference Center. Our front desk is open from 7:00 AM-11:00 PM daily.

Moving Furnishings: Camp Allen does not offer custom furniture arrangements. Guests may rearrange furniture indoors, but we ask that indoor furniture remains inside. Please do not drag furniture along the floors. ​ Furniture should be returned to its original approximate location and position. A labor fee of $50 per hour will be charged for any necessary repositioning of furniture or extensive cleaning due to improper use of the facility.

Dishes & Cookware: All Camp Allen kitchen items have been inventoried prior to your arrival. Before departure, please wash and return all items to their designated places. Dish soap, paper towels, and dishwasher detergent are available under the kitchen sink. Please start the dishwasher as you check out. Please note: Coffee, filters, and charcoal for grills are not provided. Any missing kitchen items will be added to your final invoice.​

Linens: Bed linens and towels are provided and will only be refreshed during extended stays. Please note that the cost of any missing or damaged items will be added to your final invoice.

Signage: Any group signage posted must be removed prior to departure. Do not use staple guns or duct tape to post any signage.

Trash: Please tie all trash bags securely and place them in trash cans with the lid latched tightly. To avoid attracting animals, do not leave trash outside of closed cans. For daily pickup, place your trash outside by 1:30 PM for collection by our maintenance team.

Third Party Vendors: All outside service providers—including caterers, rental companies, entertainers, and other third-party vendors—must complete Camp Allen’s official Vendor Agreement before providing services on-site. This ensures compliance with our safety, liability, and operational standards. The agreement must be requested and coordinated through the Event Planner. Vendors are not permitted to operate on property without an approved agreement on file.

​Power Outages and Utility Service Interruptions: Camp Allen will make every effort to maintain guest comfort in the event of a power outage or service interruption; however, because such occurrences may result from weather, utility issues, or other events beyond our control, Camp Allen does not provide refunds or credits related to these disruptions. Guests are encouraged to purchase event or travel insurance to protect against potential losses caused by unforeseen circumstances.

​Please be respectful of Camp Allen property and equipment. Damages and/or cleaning costs in excess of normal wear and tear will be billed to the group and charged to the credit card on file.

alcoholic beverage policy
Camp Allen permits the responsible use of alcoholic beverages within the following guidelines:
  • Guests may bring their own alcohol, but consumption must be limited to your immediate facility area. Many nearby guests are here for peaceful, family-oriented retreats, so please help us maintain a quiet and safe environment.
  • Alcohol is not permitted at Pools #1 and #2, the Pavilion, or any other shared or common-use areas.
  • Driving under the influence or consuming alcohol while operating a vehicle on Camp Allen property is strictly prohibited.
  • Any disorderly conduct, damage, or injury related to alcohol use may result in removal from the property, financial liability, and potential legal consequences.
wristbands
For the safety and security of everyone on property, Lakeside Cabin and Grove guests are required to wear the provided wristbands throughout their stay at Camp Allen. If you need additional wristbands during your visit, please stop by the Front Desk.
restrictions
  • Smoking is not permitted indoors of any of Camp Allen’s facilities.
  • Pet-Free Policy- For the safety, comfort, and health of all guests, Camp Allen maintains a strict pet-free policy across all facilities and grounds. Only service animals, as defined by the Americans with Disabilities Act (ADA), are permitted. Service animals must be trained to perform specific tasks directly related to a person’s disability. Emotional support animals, comfort animals, and therapy animals do not qualify as service animals under the ADA and are not permitted on the property. Guests traveling with pets are encouraged to arrange for off-site boarding. For local pet boarding options, please visit campallen.org/local
  • Electric Powered Transportation Devices- The possession, use, or charging of electric-powered personal transportation devices is strictly prohibited on Camp Allen property. This includes electric scooters (excluding those used for guests with a mobility disability), e-bikes, electric-powered skateboards, hoverboards, 4-wheelers, go-carts, ATVs, golf carts, motorcycles, and self-balancing scooters. This policy is in place to ensure the safety of our guests, staff, and facilities.  Devices may not be stored, operated, or charged in guest rooms, meeting spaces, or any other facility on campus. Failure to comply with this policy may result in the device being held for the duration of the stay or, in more serious cases, dismissal from the property without refund.  Guests are encouraged to enjoy Camp Allen’s walking paths, nature trails, and the use of traditional bicycles, which are welcome on the property.  Camp Allen does not provide charging stations for electric vehicles.
  • Swimming, personal boats, and jet skis are not permitted on Lake Coffield or Lake Goddard.
  • Fires are only permitted in the indoor fireplace.  Due to our forest environment and dry conditions, please use caution when utilizing the charcoal/ gas grill. Do not leave it unattended and have a hose accessible. Personal fireworks are not allowed.

meals
​​With fully equipped kitchens, most Lakeside Cabin and Grove Lodge guests choose to prepare their own meals. However, guests may request Conference Center buffet meals ala carte (form below), both subject to availability. 
summer rentals
​During our Summer Camp season (May 30 - August 10), the following policies are in place to maintain a safe environment for campers.

Accessible Areas & Activities
Due to summer programming, most reserved activities are unavailable. For current availability, visit campallen.org/activities. The following areas remain open to guests:
  • Conference Center Amenities: Tennis/pickleball courts, Basketball and volleyball courts, Horseshoes, TV Lounge & Fitness Center (under 18 requires adult supervision), Conference Center playground, Hotel Pool
  • Lake Coffield: Pedal boats & Catch-and-release fishing
  • Pool #2: Open Saturdays only, from 12:00–4:00 PM
  • Hike & Bike Trail: Open from Saturday 11:00 AM to Sunday 11:00 AM

Restricted Areas / Activites
  • Cabin guests may not enter any campsites or interact with campers.
  • Viewing summer camp activities is strictly prohibited.
  • Ralph Hughes Park and Pavilion are closed to guest use.
  • ATVs are not permitted on Camp Allen property.

Vehicle & Road Use
  • All guest vehicles must display a Camp Allen Vehicle Access Pass, available at the front desk.
  • Speed limits are strictly enforced: 10 MPH in campsites and 20 MPH elsewhere.
  • Please limit driving through campgrounds to essential trips only.
  • Avoid the main road on Saturday mornings due to camper pickup.
  • Use the back entrance off CR325 as your primary entrance and exit. The front desk will provide the access code.

Walking & Running Access
Walking and running beyond the campsite gate is only allowed on Saturdays from 12:00–4:00 PM. A dated pedestrian pass must be worn visibly and can be obtained at the front desk.

Safety & Property Reminders
Camp Allen is under camera surveillance for your safety and policy enforcement. Please help us maintain a respectful and peaceful environment for all guests and campers.

Grove Lodges 1 & 2 include fully equipped residential kitchens with two refrigerators, bed linens and towels, Wi-Fi, a large TV with DVD player and cable, laundry facilities, gas fireplaces, spacious outdoor decks and front porches, and gas grills. ​[View Inventory]

The Dunn Center offers a fully equipped residential kitchen, bed linens and towels, Wi-Fi, a TV with DVD player and cable, laundry facilities, a large outdoor deck and front porch, a gas grill, and a meeting room furnished with four round tables, 20 chairs, and a drop-down screen. View Inventory

Lakeside Cabins feature fully equipped residential kitchens, bed linens and towels, TVs with DVD players, back porches overlooking the lake, log fireplaces (with firewood provided November through March), exclusive pedal boat access, and charcoal grills. [View Inventory]

The Lakeside Meeting Center includes a fully equipped kitchen with two refrigerators and serving items, an ice machine, house sound system with lapel and handheld microphones, satellite cable and Wi-Fi, a large TV on a rolling cart with DVD player, LCD projector, AV cart, drop-down screen, podium, seven round tables with chairs, a ping pong table, corn hole boards and bags, a large screened porch overlooking the lake, a gas fireplace, and an outdoor kitchen with a gas fire pit and grill. [View Inventory]

The Lakeside Meeting Center Suite offers a fully equipped efficiency kitchen, a living room with a fold-out full bed, satellite TV, a master bedroom with a king-sized bed, and a full bathroom. [View Inventory]

All kitchens are equipped with a standard 12-cup drip coffee maker. Please note that filters and ground coffee are not provided.

Camp Allen does not offer custom furniture arrangements. Guests may rearrange furniture indoors but are asked to keep indoor furniture inside and return all items to their approximate original locations before departure. A labor fee of $50 per hour will be charged for any furniture reset or extensive cleaning due to improper use of the facility.


WIFI
Complimentary and upgraded Wi-Fi options are available at the following locations: Conference Center & Hotel, Bishop Doyle Center, Pavilion, Campsite 3, Lakeside Meeting Center and Grove Lodges. To connect:
  1. Open your device’s Wi-Fi settings and select Camp Allen Guest.
  2. If the login page does not appear automatically, open a browser and visit campallen.org.
  3. Check the box to accept the terms of use.
  4. Choose either:
  • Free Wi-Fi (scroll to the bottom and click the Free Access button)
  • or Select a paid package (24–96 hours) and click Pay by Credit Card.
Note: You will not need a voucher unless one was prearranged.

Additional Connectivity Info:
Quiet House: Starlink internet is available; the password will be provided at check-in.
Lakeside Cabins and Campsites 1 &2: Wi-Fi is not available at this time; however, there is an on-site AT&T tower and a Verizon tower within half a mile of the property.
