We are looking forward to hosting you at Camp Allen soon!  This page is designed to help you prepare for your upcoming overnight field trip with us. If you have not yet contracted your school or organization, please complete an inquiry form here.

3 months prior to arrival

  • Confirm that your trip is fully contracted with a deposit.
  • Secure Transportation. (One vehicle must remain onsite for the duration of the trip in the event of emergency.)
  • Arrange Field Trip Chaperone sign ups.
  • Determine course and schedule selections.
  • If pre-approved for scholarship assistance, complete the aid form here.

4 weeks prior to arrival

  • Schedule a phone meeting with Camp Allen to review selections and logistics.
  • Distribute parent information, student release forms, and chaperone release forms.
  • Review Camp Allen's guidelines with all teachers and chaperones along with your school's child safety/sexual harassment policies.
  • Collect t-shirt sizes from students.
  • Assign adults or nurse to administer medications on trip.

2 weeks prior to arrival

  • Lead teacher to complete Mandatory Pre-Trip Survey. (T-shirt orders are included on this form). 
  • Assign students to cabins. (Confirm the exact number of cabins assigned to you).
  • Assign students to class groups.
  • ​Collect all signed student and chaperone release forms and email them to [email protected]. Physical forms may be turned in upon arrival.

​FACULTY REMINDERS
  • ​Organize necessary travel first aid supplies/kits (Camp Allen provides most first aid supplies).
  • Review schedules with chaperones, reminding them of important times and responsibilities.
  • Notify Camp Allen of any number changes of students and adults or arrival time.

STUDENT REMINDERS​
  • Label luggage, cameras, and personal items with student and school’s name.
  • Review What to Bring and What Not to Bring checklist.
  • Pack appropriate weather related items - rain jackets, sweatshirts, tennis shoes, etc.
  • No food is permitted during classes, but personal water bottles are recommended.
  • Review school cell phone policy. (We recommend collecting phones for use
    only during breaks or free time at the teacher’s discretion.)
  • Camp Allen is not responsible for lost or damaged property.
